Generally, adding a video to your presentation goes easy with a few clicks on Insert > Movies and Sounds > Movie from File (in PowerPoint 97-2003) or Insert > Movie > Movie from file… (in PowerPoint 2007). But the video may not play in your PPT presentation due to a wrong file format. You know, PowerPoint only recognizes 4 video file formats - ASF, AVI, MPEG and WMV.

So, when you are about to insert a flash video from YouTube or Google Video, or a recorded video from your digital camera or Web camera, or a portion of a DVD movie, you’d better check whether it is a compatible file format to PowerPoint.

  • Insert YouTube Video to PowerPoint

    Sure, you can play a YouTube video directly in your presentation using the embedding method, i.e., simply copy and paste the embed code of the video page to the target slide. Note that you must have Internet connection to make the embedding method work.

    In case YouTube is blocked on the target computer, you can download it to your local drive, convert to a supportable video format like AVI or WMV, and insert to your PowerPoint presentation. Because YouTube videos are in FLV, a file format that is not supported by PowerPoint.

    Earthquake in Chile Video Slideshow

    The 2010 Chile earthquake occurred off the coast of the Maule Region of Chile on February 27, 2010, at 03:34 local time (06:34 UTC), rating a magnitude of 8.8 on the moment magnitude scale and lasting for about three minutes. The cities experiencing the strongest shaking—VIII (Destructive) on the Mercalli intensity scale—were Talcahuano, Arauco, Lota, Chiguayante, Cañete, and San Antonio. The earthquake was felt in the capital Santiago at Mercalli intensity scale VII (Very Strong). Tremors were felt in many Argentine cities, including Buenos Aires, Córdoba, Mendoza and La Rioja. Tremors were felt as far north as the city of Ica in southern Peru. Tsunami warnings were issued in 53 countries, and a tsunami was recorded, with amplitude of up to 2.6 m (8 ft 6 in) high, in the sea at Valparaíso, Chile. President Michelle Bachelet declared a “state of catastrophe”. She also confirmed the deaths of at least 708 people. Many more have been reported missing.

    The epicenter of the earthquake was offshore from the Maule Region, approximately 8 km (5.0 miles) west of Curanipe and 115 km (71 mi) north-northeast of Chile’s second largest city, Concepción. The earthquake also caused seiches to occur in Lake Pontchartrain to the north of New Orleans, United States, located nearly 4,700 miles (7,600 km) from the epicenter of the quake.

    Explanation

    While you can always download YouTube videos and insert them into PowerPoint but there is another easy way to embed YouTube videos in PowerPoint if you do not want to download YouTube video and want to insert video using its URL from YouTube.

    You will need an add-in for PowerPoint which will add a new option of 'YouTube Video' under 'insert Tab'.

    Download add-in based on MSOffice version at the bottom of the post and add add-in in PowerPoint using the following method. Its a YouTube Video Wizard (YTV) add-in for PowerPoint.

    For PowerPoint 2003 and earlier versions
    • Extract the contents of the zip to a folder.
    • Launch PowerPoint.
    • Click on Tools > Add-ins to bring up the add-ins window.
    • Click on Add New and navigate to the folder where the contents of the zip file was extracted and select 'YouTubeVideo.ppa' and click OK.
    • You might be prompted with the macro virus warning. Enable the macros. When the Add-in is properly loaded, it will display a tick against the add-in name.
    • That's it. You have successfully loaded the add-in.
    For PowerPoint 2007 or 2010
    • Extract the contents of the zip to a folder.
    • Launch PowerPoint.
    • Click on Office Button > PowerPoint Options.
    • In the PowerPoint Options dialog, select the Add-ins tab.
    • Select 'PowerPoint Add-ins' from the Manage drop down and click 'Go'
    • On the Add-ins dialog, click 'Add New' and navigate to the folder where the contents of the zip file was extracted and select 'YouTubeVideo2k7.ppa' and click on OK.
    • You might be prompted with the macro virus warning. Enable the macros. When the Add-in is properly loaded, it will display a tick against the add-in name.
    • That's it. You have successfully loaded the add-in.

    Using Microsoft PowerPoint You can also double click 'YouTubeVideo2k7.ppa' directly which will bring up PowerPoint and the add-in will be loaded for you for that session to use.

    Above solution works great, the only problem is that it streams live videos so an internet connection is required to playback the video during the slide show. If you plan to deliver a presentation without internet, take the following approach.

    If you are interested in embedding YouTube videos in PowerPoint offline then you have to download and convert video from YouTube first and then embed into PowerPoint. First download the YouTube video locally in either WMV or AVI format because PowerPoint doesn't understand the default FLV or MP4 formats of YouTube. You can either use free online services to save any YouTube video as an AVI file. Simply use insert option in PowerPoint and then select 'Movie' tab to embed video from your computer into PowerPoint.

    Theory:

    DVD from the technology set

    You would think that you could just write your powerpoint file to a DVD and it would just work. We're sorry to report that's not the case. But we're pleased to report that it's not that difficult. This tutorial will show you how to put your powerpoint presentations on to a dvd in 3 easy steps.

    Step One - Capture

    Most powerpoint slideshows have movement and animation. We want to preserve this animation on the dvd. For this we used a product called Camtasia to grab the slideshow and save it to a video file. You can read more about all the software we have used at the end of this tutorial.

    Step Two - Conversion

    Without getting too technical, your PC runs at a certain resolution (or quality), DVD's run at another resolution. Therefore we need to convert the captured video file to DVD quality. For this we will use a product called Nero Vision Express. We will create a nice DVD menu at the same time.

    Step Three - Writing the DVD

    We've capture the slideshow, converted it to DVD resolution, created a nice DVD menu, now all that is left is to write (burn) the DVD disc.

    Optimizing your computer before you start:

    To get the best results from Camtasia while grabbing your slideshow, keep these points in mind:

    Step by Step Powerpoint to DVD Tutorial:

    Step 1: Capture

    As mentioned in step 2 above, dvd has a resolution of 720x480. So we need to capture our slideshow at a similar resolution. In our case 800x600 is a close match to capture at, as we cannot set our PC to 720x480. Also 800x600 will scale down better than 640x480 will scale up.
    1 Change the desktop resolution to 800x600 by right clicking a blank area of your desktop, choose "Properties".

    2 Click the "Settings" tab, then move the "Screen Area" slider to 800x600 pixels.

    3 Change the "Colors" to your highest setting. Ideally set it to (True Color) 32bit, 24bit will also work. Click "OK". Then follow your particular on-screen instructions to finish changing the desktop resolution
    4 Start Powerpoint.

    Open your slideshow. We recommend having a totally blank first and last slide, or a slide that follows your template but with no content.
    5 Select the "Insert" menu and choose "New Slide", select the "Blank" Layout from the "slide layout" on the right of your screen.
    Then go to your current last slide by holding down the "CTRL" key then press "End".

    Then repeat step 5 to add a new last slide.
    6 Go back to your first slide (CTRL-Home), and select the "slideshow" menu, and choose "Slide Transition", make sure that "On mouse click" is ticked.

    This will make the first slide pause before we start capturing our slideshow.

    Then save your presentation. "File" > "Save"
    7 To give your PC less to do while capturing your slideshow save your presentation as a "presentation show"...

    Select the "File" menu, choose "Save As...."

    Change the "Save as type" to "powerpoint show (.pps)". Click "Save"

    Quit out of powerpoint.
    8 Now we are ready to capture the slide show. Start Camtasia Recorder. Check that it is set to record the "screen" by selecting the "Capture" menu, choose "Input" and select "Screen".

    9 This step is optional, but we found it gave much better results with our particular presentation.
    In Camtasia Recorder, click "Tools", then "Options", click the "AVI" tab along the top. On this page turn off "Auto Configure". Set the frames/sec to 10.0

    Click "Video Setup". Untick "Key Frame Every 80 frames". Click OK.

    Click the "Program" tab, Then tick "Boost priority during capture". Click OK.
    10 Navigate to your powerpoint show (the .pps file from step 7) using windows explorer or "my computer".

    Double click your file e.g. mypres.pps
    11 The 1st slide will be displayed until you press a key to move on to the next slide.
    Tip: We got better results if we went through the presentation once, before doing the actual capture. This allowed the PC to cache the presentation in its memory.
    12 When you press F9 Camtasia Recorder will start recording everything that happens on the screen. When you are ready, press F9, then press the space bar to start your presentation proper.
    13 If your presentation is set to wait for a mouse click to move through each slide, remember to give the audience time to read each slide, before pressing the space bar to move to the next slide. One way of doing this is to read the slide out aloud.
    14 When you reach your last blank slide, Press F10 to tell Camtasia Recorder to stop recording. You will be prompted to save the captured slideshow, so choose a directory and enter a filename.

    Click "Save". Camtasia will save your capture as an .AVI file.
    15 That's it for Step One. We told you it was easy!
    16 View what we grabbed from powerpoint. How did we do that? We used Camtasia Producer to save our captured video file to a flash (swf) file. Trust us, when we say this powerpoint to flash is a very powerful feature of Camtasia.

    Step 2: Conversion

    1 Start Nero Vision Express 2
    2 Click "Make DVD" and choose "DVD-Video"

    4 Click the "Browse for media" button. Navigate to where you saved the original camtasia captured video file. Select the File and click "Open". Nero will display an icon to represent your video clip.

    5 Right click the newly added video clip icon and choose "Add to Project"

    6 Nero will add your video to it's storyboard

    You can add transitions before and after each video clip using nero if you want to. We didn't.
    7 If you want to add any kind of soundtrack or music to your video clip, this is the time to do it. Click the "Show Timeline" button

    Then simply browse to your existing audio clip, then drag it from the media list to the "timeline" area marked "Audio 1".
    8 Click the "Next" button.

    If you want to add any more powerpoint slideshows, then repeat steps 3 through 6. Obviously you will also have to capture each presentation using camtasia by following Step 1: Capture.

    10 Change the "Video mode" to NTSC for the United States, or scroll down the list to your country for other modes (e.g. Select PAL for the UK).

    11 The "Create Menu" page is where you design the 1st screen people will see when they view your DVD.

    You can add backgrounds, change colors, fonts, etc. It's all fairly self explanatory.

    12 The "Preview" screen allows you to view and test your dvd. Clicking the Menu button on the remote control will always bring you back to this 1st screen.

    Quick Guide on Putting Video into PowerPoint

    Although this sounds like it should be the easiest thing in the world to achieve, the reality is often the exact opposite, and so I felt it was worth writing a simple explanation of the process.

    Before you start there are a number of things to bear in mind;

    Video files are not actually ‘embedded’, into your PPT presentation, they are simply linked, which means the video files need to be placed in the same folder as the PPT presentation, and remain there, if the link is not to be broken. This folder should always be on the hard drive. Never try to play videos from a CD, always copy them over for best results.

    So how do we go about getting the videos ready for PowerPoint?

    Firstly, the video files must be in a compatible format, such as AVI, MPG or WMV, and which formats work best varies depending on the laptop and the version of PPT you are using.

    If we know you will need to use the files in PPT, we will prepare the correct versions for you, bearing in mind a number of things which are outside our control, such as speed and power of the delivery laptop and the resolution of your presentation.

    If we make files too tiny they will display too small, and will then appear fuzzy if they get resized. (NB: Never do this! More later) If we make them too large the laptop can sometimes stutter or even crash. As a result, we tend to go with a standard size of 640 x 480 pixels, or if we are confident of your delivery laptop, maybe 800 x 600 pixels.

    The presentation resolution will depend on the screen resolution of the host laptop, or will have been set in the master template, but is likely to be either 800 x 600 pixels, in which case the video would show up in a box slightly smaller than full size; or it may be 1024 x 768, so the files at 640 x 480 would occupy about two thirds screen size. If we can find out what resolution you are using for projection, we can make files which fill the frame, assuming the laptop will be able to cope.

    The process of linking the files is quite straightforward;

    1 – Go to the slide where you would like the video to appear
    2 – Go to Insert; Movie on the menu
    3 – A dialogue box will display asking if you wish the movie to play as the slide displays, or wait for a keypress. If your video is playing from its own slide then the former would apply, but if you have a title or some other information displaying before the video, we recommend choosing the latter, so when you hit the space bar, the movie will run.
    4 – A video box will appear on the slide for you to position it as you wish. For all sorts of complicated reasons, the one thing you must not do at this stage is resize the video box. Videos must stay at the size they are when they are imported, if the quality is to be maintained. Resizing the video box will almost guarantee that the video displays at a lower quality.

    To determine the optimum size for your final videos, we can provide sample videos at different sizes and in different formats. You should soon be able to work out which version works best.

    To summarize then;

    1 – Make sure the video files are in the right format and are the right size for your computer and software.

    2 – Make sure you have copied the video files to the same folder as your presentation.

    3 – Menu – Insert; Movie

    4 – Don’t resize the movie!
